We believe that a contact center that fails to uphold information privacy has no future in the industry, and thus at tele-net we strive to ensure that all information received from customers remains protected and managed by our privacy policy. Whenever tele-net requires customers to provide their information, we understand that the ability to trust the information will be safe is important and strive to make that our goal.
Any personal information will only be handled by staff that have a requirement to access it in order to carry out their work and only in cases where that information is specifically necessary. Any staff that handle the data will undergo thorough screening during hiring to ensure that it is used in an appropriate manner.
All relevant legal requirements and policies in the relevant countries will be strictly followed.
Personal information is protected through a comprehensive system which is given the appropriate management resources to ensure that it can continuously improve. In the rare event that a breach were to occur, all priority will be given to resolving the issue.
Complaints and discussion regarding personal information will be handled in a swift and sincere manner.
Our private information management system will be reviewed and improved continuously to ensure that it remains appropriate as our company’s environment changes.
In addition to ensuring that all staff are informed of this policy, it will be displayed on our homepage, pamphlets and other materials to ensure that it is always available in an easy to access manner.
We promise to maintain the highest level of privacy and security when handling private information and aim to clearly outline the policy and methods of acquisition we utilize. This policy is implemented across our entire organization and made available through various resources including on our home page.
Any customer’s private information that is shared with our company will not be shared without permission both within our organization, nor to other outside entities, nor will it be sold to any 3rd parties.
Additionally, any staff that directly handle any private information will be tele-net staff, be they full time or part time staff, in order to ensure that no information is leaked.
Any private information provided to tele-net from customers will closely protected and only used in accordance with the relationship between the customer and tele-net. Additionally, only persons with special permissions will be granted access, use, and viewing rights to the information.
tele-net makes use of data-bases which can be accessed via the internet in order to store and access customer’s private information in order to enable a fast and effective service. Even in such cases, we prioritize the security of the customer’s private information.
In these situations, it is important that both the server and the user are protected from any potential data leaks.
Currently, the internet utilizes IPv4 and IPv6 protocols to communicate, however, as encryption is not regulated, bad actors can use line monitoring or computers to view data that is being transferred. The further away the two points being connected are, the more relay sites must be used to connect them together. It is impossible to know which relays are being used to connect, and as such the chance of a bad actor stealing data increase, making it hard to truly be able to trust the route.
To ensure the privacy is maintained, new measures are constantly needed to ensure that the security between tele-net and the customer is protected.
tele-net therefore makes use of the latest technology and prepares specialized contracts for projects that make clear the responsibilities all parties hold to ensure privacy is maintained.

In the modern information society, protection of privacy and the importance of privacy retention has become the number one priority. Any company that does not protect this privacy, nor place importance on privacy retention has no future in the 21st century.
To that end, tele-net sets aside time to ensure that all staff, be they full-time or part-time workers, have a deep understanding of this importance.
Any staff that shows an inability or refusal to understand this importance will not be allowed to continue working, and in the rare event that a breach of policy were to occur, the involved staff are made fully aware of their responsibility.
We employ numerous physical measures across our internal systems and work environment to remove the possibility of any leaks, damage, or other issues occurring.
※For example, key cards are required to both enter and exit any rooms in our contact centers where the handling of private information occurs. These key cards are only handed out to staff that have explicit permission to enter these rooms.

Contracts regarding handling of private information
The recipients of private information will be duty bound to protect the privacy of the information via the contracts that tele-net signs with them.
Contracting of Private Information Handling
In order to provide a better service to our customers, a portion of the labor may be contracted to 3rd parties to carry out. As part of this process, some private information may be shared. In such an event, the contracted company will be required to have the Privacy Mark, or received ISO27001, and will be further bound by contracts with tele-net to ensure that all private information is store and protected in a manner deemed appropriate by tele-net.

No personal information will be shared to third parties without the consent of the individual. However, there will be times that we are legally obligated to share information, such as if ordered to by the court, public prosecutor, police, or other legal investigation.
Private Information Subject to Disclosure
In the event that an individual requests to for any private information regarding them that we hold to be disclosed, we will do so with the minimum possible delay. Additionally, should an individual request disclosure of information we do not hold, we will inform them in the same timely manner.
However, in the cases of a)~c) we may be unable to disclosure information despite requests. In this event, we will inform the individual that requested the information without delay.
Editing, Additions, or Deletion of Private Information Subject to Disclosure
In the event that private information that has been disclosed is found to be false, tele-net will change, add to, or delete the information in question without delay. Upon updating the information, the individual it regards will be immediately notified of the changes made.
Right to Request Cessation of Use or Sharing of Private Information
Should an individual request the cessation of use or sharing of their private information, tele-net will honor the request in a timely manner. Once cessation has occurred, the individual will be notified without delay. However, in the even that we are unable to comply due to the reason a)~c) listed in section (1), we will inform the individual immediately.
Optionality Regarding Sharing of Private Information
The sharing of an individual’s private information is optional based on the individual’s desires. However, should the fields be filled in incorrectly, then information may not be shared in the appropriate manner across all services.
Measures in Place to Prevent Easy Theft of Private Information on Our Site
Our site makes use of cookies to track customer information across multiple visits in order to provide a more convenient service to our customers. These cookies do not encroach on the privacy of our customers and will not causes any harm to the device you are accessing the site through. Any area where data is input employs SSL (Secure Sockets Layer) encryption, and a firewall has been implemented to protect any information on the site. However, we cannot guarantee perfect security due to the nature of communication the internet is built upon.
tele-net has received the Privacy Mark from the organization that monitors appropriate handling of private information.
The Privacy Mark is an official mark of recognition from JIPDEC as proof that they have confirmed we have passed the standard listed in JIS Q 15001 which relates to programs of compliance for the protection of private information. The mark is evidence that tele-net maintains a high level of private information security across our entire organization and has continued to do so over a long period of time. tele-net vows to maintain the high standards required to receive this mark and to continue to improve our private information protection schemes.
